1. Logging In

Step by step

  1. Welcome to the SPLA Reporting Portal. In this guide, you will learn how to sign in, report your monthly software usage, and review your reporting history. Signing in happens through your TD Synnex Partner First account.

  2. On the login page, click Sign in with Partner First SSO. You will be taken to the TD Synnex Partner First page to authenticate with your Partner First credentials — the same ones you already use with TD Synnex — and then returned to the portal automatically.

  3. The first time you sign in, the portal creates your account automatically and links it to your company. There is nothing to register, and no separate portal password to remember.

2. Your Account and Navigation

  1. Once Partner First confirms your identity, you land here — on the My Account page. Across the top you will find the navigation menu: Report Usage, where you enter your monthly numbers; History, where past reports live; Usage Statistics, for totals and trends; and Request Support, if you ever need help.

  2. The Recent Submissions table shows your latest usage reports at a glance, including the period, the agreement, and the current status of each report.

  3. Further down, you can keep your profile up to date — for example, updating your first and last name.

3. Reporting Monthly Usage

  1. This is the Report Usage page, where you record your monthly SPLA usage. Notice that the agreement cards are disabled: the first thing to do, always, is select the usage period.

  2. Open the Select Usage Period dropdown and choose the month you are reporting for — the most recent choice is the last complete month. Once a period is selected, the page unlocks and each agreement shows its reporting status.

  3. The Agreement Reports list shows every agreement in your company. Corporate agreements carry an orange badge, and Academic agreements a green one, with the end customer name alongside. The plus and minus buttons add or remove an agreement’s report card below.

  4. Let’s report the Corporate agreement. Click Add Entry on its card, then pick a product from the dropdown. You can type to search. The unit price fills in automatically from your agreement pricing.

  5. Enter the quantity for the month. A quantity of zero is allowed when a product had no usage this period, but negative numbers are rejected. We’ll start with just one license for now.

  6. Every report needs a Purchase Order Number. Enter the PO your company uses for this period — and note that a fresh PO is required every month; it is never carried over.

  7. One important rule: each agreement must total at least one hundred dollars to meet Microsoft SPLA compliance requirements. If we try to report now, the portal stops us and explains why.

  8. Let’s enter the real numbers. Sixteen Windows Server Standard core licenses puts this agreement comfortably over the minimum, and the row total updates as you type.

  9. Add a row for each product you host. Click Add Entry again and report SQL Server Standard — four two-core licenses this month.

  10. If you pick a product that is already on another line, an orange warning appears on both rows. It will not block your report — sometimes duplicates are intentional — but it asks you to confirm that’s what you meant.

  11. Here it was a mistake, so we change the third line to the product we actually meant — Remote Desktop Services — and the warning clears. Twenty five users this month.

  12. Each agreement card shows its subtotal, and the grand total for all agreements appears at the bottom of the page. Take a moment to review your quantities before reporting.

  13. When everything looks right, click Report All Usage Entries. Your report is saved as a draft and you are taken to the History page with a confirmation. An administrator will lock and submit it to TD Synnex later — you can still edit it until then.

4. Copying From Last Month

  1. If your usage is similar month to month, the copy feature saves a lot of typing. Back on Report Usage, select the usage period first — copying is only available once a period is chosen.

  2. Notice the Corporate agreement we reported in the last chapter: its badge now reads Usage Submitted, its card is hidden, and it cannot be reported again for this period. That is the portal’s duplicate protection. To change an existing report, edit it from the History page instead.

  3. Our Academic agreement — the green badge, reported on behalf of Springfield University — is still open. Click its copy button to pull in last month’s products and quantities. Prices are refreshed to your current rates.

  4. Always review the copied rows — they reflect last month, not this month. Say two more Windows Server licenses came online at the university: we update that quantity to ten.

  5. One thing copying never brings over is the Purchase Order Number — that field is blank on purpose. Enter this month’s PO before reporting.

  6. Click Report All Usage Entries, and the Academic agreement is reported for the month — copied in seconds, reviewed, and saved as a draft.

5. Reviewing and Editing Reports

  1. The History page lists every usage report your company has made, grouped by month and agreement, with the amount and current status of each. Reports start as drafts; once an administrator locks one for invoicing, it shows a lock badge and can no longer be changed.

  2. Click Print slash Email View on any report to see its full summary — products, quantities, totals, the PO number, and who reported it. From here you can open a printer friendly version in a new window, or email the summary.

  3. Need to correct something? As long as a report is still a draft, you can edit it. Back on History, click Edit Report and the report reopens in edit mode with the period locked in.

  4. All the reported lines are here, ready to adjust. Let’s say two more servers came online after we reported — we update the quantity, and the totals recalculate.

  5. Click Update Report to save. The report keeps its history — the portal tracks who reported it originally and who edited it, with timestamps.

6. Usage Statistics

  1. Usage Statistics gives you the big picture. The tiles at the top summarize your reported usage — total submissions, total quantity, total value, and the date range covered by what’s on screen.

  2. Use the filters to narrow things down by period, agreement, purchase order, or status, then click Apply Filters. The tiles and the table update together.

  3. The table lists every reported line — period, agreement, product, quantity, unit price, and total — with a totals row at the bottom. It’s ideal for reconciling against your own records.

  4. And when you need the data outside the portal, click Export to download everything that matches your filters as an Excel file.

7. Getting Help

  1. If you ever get stuck — a question about licensing, pricing, or your account — the Request Support page is the fastest way to reach the team. Pick the category that fits your question.

  2. Give the ticket a short, descriptive title, then explain your question in the details box — the more context you provide, the faster the team can help.

  3. Click Submit Ticket. You’ll receive email updates as the team responds, and every reply is also recorded here in the portal.

  4. Your tickets appear below with their current status. Open one at any time to read responses or add more information. And that completes the tour — you’re ready to report your first month of usage. Welcome aboard!
